Job Description

The Access Services Coordinator is a member of the Library Department who holds the primary responsibility and oversight of circulation services and access to the physical library collection. This includes supervision of a team of student workers and coordination with additional library staff to provide circulation and basic information access services, including scheduling for opening and closing of the building. The Access Services Coordinator is also the point person for Preus Library building concerns and the management of access services equipment. 

This position will follow an afternoon schedule typically from  2:15pm-11:15pm Monday-Thursday and 11:45am-8:45pm on Sundays.

ESSENTIAL DUTIES and RESPONSIBILITIES:
 

Together, the Access Services Coordinator and the access services student workers are referred to as the Circulation Team.
 

Responsibilities of the Circulation Team includes:

  • Opening, closing, and attentive oversight of Preus Library.
  • Attention to a quality customer service environment for all circulation and related help services to support the academic mission of Luther College as an institution of higher education.
  • Proper management of the print library collection.
  • Assistance with all forms of service found at the circulation desk, including checkouts, problem resolutions, inventory management, basic information questions, and logging of transactions.
     

Specific responsibilities of the Access Services Coordinator include:

  • Leadership of the Circulation Team, member of the library team, liaison to Campus Security, and evening adjunct for basic research help.
  • Coordinates all scheduling for opening and closing of the library.
  • May make emergency closing decisions in the absence of the library director and in coordination with campus security.
  • Advises on best practices for procedures and enforces library policies.
  • Coordinates all circulation responsibilities (checkouts, returns, renewals, holds, fines, reshelving), including ongoing training and quality control.
  • Manages Preus Library access services equipment including circulating technology, computer terminals, photocopiers/printers, and microfilm reader/printers.
  • Provides basic research help services in the evenings and related research referral for additional information or daytime assistance (in-person, phone, and email).
  • Manages Course Reserves (communication with professors, item records, back of house shelving, and circulation).
  • Investigates building management issues, conducts regular walk arounds, submits and tracks tickets for building maintenance issues. Communicates building concerns to the library director.
  • Assists with library projects and events, including taking the organizational lead for an annual book sale.
  • Annual development of a circulation team, including developing a student wage budget request, recruiting and hiring student workers, keeping documentation and training current and ongoing, reviewing activity logs, and observing numerous interactions in order to provide stellar supervision and mentorship for excellent customer service.
  • Determines eligibility for community borrowing privileges.
  • Maintains patron database in WMS (library system), communicates problems with data uploads to IT, and troubleshoots issues with patron records.
  • Runs customized collection reports in WMS for various library projects.
  • Oversees the library’s instance of the television monitor.
  • Participates in the evaluation, review, and documentation of new work processes and tools.
  • Edits Access Services related webpages.
  • Monitors print collection growth and plans for and oversees any necessary collection shifts.
  • Provides statistics on library head counts and circulation of books, equipment, and other materials.
  • Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES:

  • Supervises Circulation Student Workers (15-17 students), coordinating interviewing, training, scheduling, and evaluating.

EDUCATION, EXPERIENCE and SKILLS:
Education:

  • Bachelor’s or Associate’s degree.

Experience:

  • Customer service or management experience required.
  • Experience in a library environment preferred.
  • Possesses excellent organizational, interpersonal, and communication skills.
  • Ability to communicate effectively with library patrons, student groups, other libraries, and the general public.
  • Ability to perform detail-oriented work with multiple deadlines under minimal supervision.
  • Experience in developing, scheduling, and overseeing a team.
  • Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, alumni, parents, and friends of the college.

  • While performing the duties of this job, the employee is frequently required to stand, walk, and sit. The employee must occasionally lift and/or move up to 50 pounds.
